    Reports to: Executive Director

    The Bar Harbor Chamber of Commerce is seeking an individual to join our team as our Administrative Assistant. The Bar Harbor Chamber of Commerce represents members from nearly 400 independent businesses and helps thousands yearly as part of its services. Services include assisting more than 100,000 visitors annually at its Visitor Information Center and Information Kiosk, producing and distributing 100,000 planning guidebooks annually through trade shows, mailings, and information centers, and executing events such as Bar Harbor's July 4th Celebration, Early Bird Pajama Sales & Bed Races, and member networking events.

    The Administrative Assistant will be a vital member of our small, dedicated team, providing comprehensive administrative and operational support to the Executive Director and the entire Chamber staff. This role is the first point of contact for many of our members and visitors, so a professional, friendly, and helpful demeanor is essential. The ideal candidate will be highly organized, proactive, and possess excellent communication and interpersonal skills.

    Essential Duties and Responsibilities:
    • Administrative Support:
      • Manage the Chamber's office operations, including organizing filing systems, ordering supplies, and maintaining a welcoming environment.
      • Answer phone calls and emails, schedule meetings, and prepare correspondence for the Executive Director and staff.
      • Process incoming and outgoing mail and update member databases and contact lists.
    • Member and Visitor Services:
      • Greet and assist members and visitors, providing information about local businesses, attractions, and events.
      • Respond to public inquiries and assist with member onboarding and renewal processes.
      • Distribute informational materials like brochures and maps.
    • Financial and Record-Keeping:
      • Assist with basic bookkeeping tasks, including processing invoices, recording payments, and preparing deposits.
      • Maintain accurate financial records and assist with budget tracking.
    • Event and Program Support:
      • Assist with the planning and execution of Chamber events, meetings, and workshops.
      • Help with event registration, communication, and on-site logistics.
    • General Duties:
      • Handle special projects as assigned by the Executive Director and maintain the confidentiality of sensitive information.
      • Contribute to a positive team environment and foster relationships with Chamber members.
      • Assist with other duties as needed to fulfill the organization's mission and values.
    Qualifications:
    • Proven experience as an administrative assistant, office manager, or in a similar role.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and a willingness to learn new software.
    • Excellent written and verbal communication skills.
    • Strong organizational skills with the ability to multitask and prioritize effectively.
    • Exceptional attention to detail and problem-solving skills.
    • Ability to work independently and as part of a team.
    • A friendly, professional, and positive attitude.
    • Familiarity with the Bar Harbor area and its business community is a plus.
    • Ability to lift up to 50 lbs.
    • Availability to work evenings, early mornings, holidays, and weekends as needed.

    Compensation & Benefits
    This is a full-time, hourly, non-exempt position with hourly wages from $21 per hour to $23 per hour. The offer will be commensurate with experience. Employee benefits include vacation, personal, and sick leave, paid holidays, and a retirement contribution plan with employer match. Employee benefits also include an option to participate in employer-subsidized health insurance. The position requires an estimated 40-hour work schedule per week with limited opportunities for overtime during certain weeks/events. This position does not include employee housing.

    Location:
    This position will be primarily based in downtown Bar Harbor.
